1. Who we are
Mayfair Motors is a United Kingdom company operating an online marketplace that connects vehicle owners (“Hosts”) with people who wish to hire those vehicles (“Guests”).
We provide technology services only - including vehicle listings, booking tools, in-Platform messaging, payment processing, identity verification and related marketplace features. We do not own, lease, operate, maintain, inspect, store, manage or control any vehicle listed on the Platform.
When a Guest books a vehicle, the rental agreement is entered into directly between the Host and the Guest. Mayfair Motors is not a party to that agreement unless we expressly state otherwise in writing.
Users may create accounts, list vehicles, make bookings, receive payments, upload documents, verify their identity and communicate through the Platform. This Privacy Policy explains how we handle personal information in connection with those activities.
2. Personal information we collect
The information we collect depends on how you use Mayfair Motors - for example, whether you browse as a visitor, register as a Guest, list vehicles as a Host, or contact our support team. We may collect the following categories of personal information:
- Identity and account details: full name, date of birth, username, profile photograph and account preferences.
- Contact details: postal address, email address, telephone number and emergency contact information where you provide it.
- Verification and eligibility information: driving licence details and copies, passport or other identity documents, proof of address, and information needed to confirm you are legally permitted to drive or list a vehicle.
- Payment and transaction information: payment card or bank account details (processed by our payment providers), billing address, payout details for Hosts, transaction history, refunds, charges and booking fees.
- Booking and marketplace activity: search history, saved vehicles, booking requests, confirmed rentals, cancellations, mileage or usage information you or a Host submit, vehicle handover records, reviews and ratings.
- Vehicle and listing information (Hosts): make, model, registration, location, availability, pricing, photographs, insurance details, MOT and service records where uploaded, and descriptions you provide.
- Insurance and claims-related information: policy details, excess information, incident reports, damage photographs, witness statements and correspondence relating to claims or disputes.
- Communications: messages sent through the Platform, emails, calls or support tickets with our team, and notifications you receive.
- Technical and usage data: IP address, device identifiers, browser type, operating system, referral URLs, pages viewed, session duration, clickstream data, crash logs and general location derived from IP or device settings.
- Security and fraud-prevention data: login attempts, device fingerprints, verification outcomes, risk scores, sanctions screening results and records of suspicious or prohibited activity.
- Marketing preferences: whether you have opted in to receive promotional communications from us.
- Any other information you provide, or that we reasonably require, to operate the Platform, verify eligibility, handle a booking or resolve a query.
Information from third parties
We may receive information about you from identity verification providers, payment processors, fraud prevention services, insurers, credit reference or sanctions screening providers, and publicly available sources where permitted by law. Hosts and Guests may also share information with us when reporting an incident, dispute or claim.
3. How we use your information
We use personal information for the following purposes, relying on one or more lawful bases under UK data protection law - including performance of a contract, legitimate interests, legal obligation and, where required, your consent:
- Creating and administering your account and profile.
- Verifying your identity, driving licence and eligibility to hire or list vehicles.
- Operating the marketplace: publishing listings, processing booking requests, facilitating handovers and managing cancellations.
- Processing payments, collecting fees, issuing refunds and paying Hosts.
- Providing customer support and responding to enquiries.
- Sending service communications about bookings, account security, policy updates and Platform changes.
- Preventing fraud, abuse, money laundering and other unlawful activity.
- Monitoring Platform use to maintain security, integrity and availability of our services.
- Assessing and managing risk, trust and safety on the marketplace.

4. Fraud prevention, monitoring and investigations
Operating a vehicle rental marketplace involves financial transactions, identity verification and trust between people who may not know each other. We take fraud prevention and Platform integrity seriously.
We may monitor, review, analyse, record and retain account activity, Platform usage, communications, bookings, transactions, uploaded documents and other information where reasonably necessary to:
- Prevent fraud and detect suspicious activity.
- Investigate misuse of the Platform and enforce our policies.
- Protect users and the security of our services.
- Resolve disputes and assist insurers with claims-related enquiries.
- Comply with legal obligations and protect Mayfair Motors’ legal rights and interests.
Retention for investigations
We may retain records, communications, documents, booking information and transaction history where reasonably necessary for investigations, claims, disputes, legal proceedings, insurance matters, security incidents, fraud prevention or regulatory compliance - including after an account is closed where retention is justified.
Actions we may take
If we detect or reasonably suspect fraud, theft, misrepresentation, identity misuse, chargeback abuse or other serious misconduct, we may suspend or terminate accounts, cancel bookings, withhold payouts, request further verification, report matters to insurers or law enforcement and cooperate with investigations as required or permitted by law.
Information processed for these purposes may be shared with fraud prevention agencies, payment providers, identity verification partners and insurers. You have rights in relation to this processing as described in section 11 below.
6. Legal disclosures
We may disclose personal information, communications, booking records, payment records, account information, identification documents, licence information and Platform activity where required or permitted by law, including in connection with:
- Court orders, subpoenas and legal proceedings.
- Regulatory requirements and government requests.
- Law enforcement requests and fraud investigations.
- Insurance claims, subrogation or recovery actions connected to a rental.
- Protection of legal rights, enforcement of Platform policies, prevention of crime and protection of public safety.
- Protection of the rights, property or safety of Mayfair Motors, our users or the public.
7. International transfers
Mayfair Motors is based in the United Kingdom. Some of our service providers may process personal information in countries outside the UK, including the European Economic Area, the United States and other jurisdictions.

Deletion

10. Marketing communications
We may send you:
- Service messages about bookings, account activity, verification, security alerts, Platform updates and service announcements - these are not marketing and you cannot opt out while you maintain an active account, except where the law gives you additional choices.
- Marketing about Mayfair Motors services, promotions or new features where you have given consent or where we are permitted to contact you under UK electronic marketing rules.
Opting out
You can unsubscribe from marketing emails using the link in each message or by contacting info@mayfairmotors.co.uk. Opting out of marketing does not affect service communications relating to your account or bookings.
11. Your rights
Under UK data protection law, you have the following rights in relation to your personal information, subject to certain exceptions:
- Right of access - to obtain a copy of the personal information we hold about you.
- Right to rectification - to correct inaccurate or incomplete information.
- Right to erasure - to request deletion in certain circumstances.
- Right to restriction - to ask us to limit processing in certain situations.

12. Marketplace status and important limitations
Mayfair Motors is a technology Platform that facilitates introductions and bookings between independent Hosts and Guests. We are not a vehicle rental company, motor trader, insurer or transport operator in respect of vehicles listed on the Platform.
Rental agreements are formed directly between the Host and the Guest. Mayfair Motors does not own, lease, operate, maintain, inspect, store, manage or control any vehicle listed on the Platform.
We do not guarantee the condition, roadworthiness, insurance adequacy, availability or legal compliance of any vehicle, nor the conduct of any user. Vehicle condition, vehicle performance, accidents, insurance matters, damage claims, write-offs, theft, personal injury claims and disputes arising from rentals are matters primarily between Hosts, Guests, insurers and relevant third parties.
Our processing of personal information supports Platform operations, trust and safety, and legal compliance. We may assist with information sharing and Platform administration but do not assume responsibility for rental-related matters except to the limited extent we are legally required to assist or liable under applicable law.
Nothing in this Privacy Policy creates a partnership, agency or employment relationship between Mayfair Motors and any Host or Guest.
13. Security, contact and policy changes
We implement appropriate technical and organisational measures to protect personal information against unauthorised access, loss, misuse or alteration. No online service can be completely secure; please use a strong password and keep your login details confidential.

Material changes will be communicated through the website or by email where appropriate.
